In this article, we’ll walk through a step-by-step guide to fully migrate your existing Excel asset data to SELLEASE, based on our official customer onboarding guide.

1️⃣ Setting Up the Organization Chart & Registering Members – The First Step to Data Migration

Most asset management spreadsheets contain both department and user information —
and this organizational structure forms the foundation for tracking every asset in the company.

To migrate accurately, start by setting up your organizational structure within SELLEASE.

✔ Setting Up the Organization Chart

  • Go to [Members] → [Organization Settings] to register your company’s hierarchy.
  • If your HR system doesn’t sync automatically, connect your Google Workspace
    SELLEASE will automatically import and mirror your Google organization structure.
  • For larger enterprises, SELLEASE also provides Open API integration to sync your org chart directly (available from the Enterprise Plan).

✔ Registering Employees

  • After setting up the organization, click [Register Employee] in the top-right corner of the Members tab.
  • You can bulk upload employees via Excel — if the department names match those in the organization chart, they’ll be automatically assigned.
  • Set a default password for bulk registration, or send invitation links so each employee can set their own password.

💡 Tip. If you upload members without an org chart, all departments will appear under a single top-level company node. Always configure the organization first!

2️⃣ Deploying the SELLEASE Agent – The Core of Automatic Registration

Once your employees are registered, it’s time to automatically register each user’s PC.
Simply installing the SELLEASE Agent allows asset information to be collected and linked to the company’s database — no manual entry required.

When employees log in with their assigned ID, the system automatically maps their device to their user account.

✔ Announce the Installation via Internal Notice or Email

  • Share the SELLEASE Agent download link and installation guide through your company intranet or an email notice.
  • Once employees log in, their PC and monitor details are automatically captured and registered.

✔ Handling Duplicate Monitors

  • Some monitors have identical mainboard S/Ns, which can cause duplicate recognition.
  • After all employees have installed the agent, turn off auto monitor registration and manually register only the necessary monitors for accuracy.

💡 Tip. The agent automatically registers all hardware assets, so you no longer need to match “User–PC” pairs manually in Excel.

3️⃣ Uploading Shared Assets – Registering the Rest All at Once

After personal devices are registered automatically,
you can bulk upload shared assets such as meeting room equipment, printers, and shared monitors via Excel.

✔ Preparation Before Upload

  • Under [Asset Categories] → [Custom Types], create predefined types for your organization
    (e.g., Printers, Conference Room TVs, POS Terminals, etc.).
  • In your Excel sheet, enter the employee ID (email) in the “User” column —
    this ensures assets are automatically assigned to the right person upon upload.

✔ Running the Upload

  • Go to [Tangible Assets] → [Excel Upload] and select your file.
  • Verify field mappings (Asset Name / Category / User Email / Acquisition Date, etc.).

💡 Tip. If an asset code already exists in SELLEASE, the corresponding record will be updated instead of duplicated.
When updating hundreds of assets, double-check that each SELLEASE Asset Code matches correctly.

✔ ERP Integration (e.g., SAP, DOUZONE)

  • Through SELLEASE’s Open API, you can automatically import and sync assets from your ERP system.
  • This integration is available from the Enterprise Plan, and our team can assist you with setup if needed.

✔ Employee Asset Survey

  • Use the Full-Staff Asset Audit feature to collect each employee’s assets directly.
  • Go to the Asset Audit menu, create a campaign, and employees can enter their asset data during the survey period.
  • Any missing or unregistered assets can easily be added through this campaign.

✔ AI-Based Asset Registration

  • With just a smartphone, you can register assets anytime, anywhere.
  • Using SELLEASE AI Registration, simply take a photo — and AI automatically identifies the asset’s category, name, and details.

  • Use the Bulk Edit feature to apply consistent naming conventions by category.
    Naming is important because it becomes the keyword reference for QR label printing.

  • When you input the acquisition cost and date, SELLEASE automatically calculates
    accumulated depreciation and residual value.
  • You can also set asset lifespan and salvage value by type, with monthly depreciation automatically applied under K-IFRS accounting standards.

5️⃣ Printing & Attaching Labels – Completing Physical Asset Management

Once more than 90% of your assets are registered, it’s time to print QR labels.
SELLEASE provides a variety of label templates you can customize to your preferences.

✔ Label Options

  • 12-split (100×46.4mm): Furniture, appliances
  • 24-split (64×34mm): PCs, monitors, IT devices
  • 65 / 96-split: Small equipment (mice, keyboards, peripherals)
  • Label printer rolls: Industrial equipment or high-temperature devices

Click “Print QR Codes” in the PC Asset tab to access direct purchase links for each label type.

  • Assign and distribute labels to each team for individual IT assets (PCs, monitors, etc.).
  • Print and apply separate label sets for shared assets to streamline future audits.
  • Purchased labels are laminated and waterproof, ensuring durability and easy removal when needed.

💡 Tip. Order labels early so you can print and attach them immediately once registration is complete —
this lets you synchronize physical tagging and data updates in one go.

6️⃣ Final Review – Verifying Data Accuracy

  • Cross-check totals, departments, and status data on the Asset Dashboard against your original Excel file.
  • Confirm that all assets have labels during the Full-Staff Asset Audit.
  • Finally, compare SELLEASE’s depreciation reports with your accounting ledgers to confirm a complete and accurate migration.
